As an employer operating PAYE as part of your payroll, you need to complete certain tasks during each tax month. Tax months run from the 6th of one month to the 5th of the next. Employers must calculate tax, National Insurance contributions, pensions and other deductions, issue employees with payslips (it is legally acceptable to issue payslips online in the UK), and make RTI submission to HMRC on or before payday each month. Employer must inform HMRC even if there were no payments made in a tax month.

Monthly Payroll Processing (RTI & Auto Enrolment Compliant)

All businesses in the UK running payroll need to fully compliant with Real Time Information (RTI). Whether you need to run monthly payroll or weekly, Zephyr Accounting provides full support in staying on top of your payroll requirements. We will setup and run payroll for you on agreed timelines and can provide email or physical payslips directly to your staff. We will apply all necessary deductions, e.g. National Insurance, PAYE, Bonuses, Pensions etc and ensure calculations are done accurately and on time every time. We will also generate payroll reports for management to record relevant costs, transfer salaries & wages to employees, payments to HMRC, Pension provider.

We can also run your payroll withing you existing accounting software like Xero, Quickbooks, Sage, MoneySoft etc, or outside the accounting system and then provide you with the relevant information to journal in. We will also complete any HMRC reporting, provide P60s or P45s, tax related advice directly to your staff so you can focus on growing your business rather than payroll admin.

Auto Enrolment (Pension Contributions and The Pension Regulator Compliance Statement)

All employers registered for PAYE in UK are legally required to comply with Auto enrolment Pension regulations. Duties start from staging date or from the first Pay Day if registered for PAYE scheme recently.
We will provide you complete guidance on Auto enrolment and also will ensure that all compliance requirements are fulfilled. We are using NEST (National Employment Savings Trust) as pension provider.
All relevant documentation and enrolment letters will be sent to you via email which then can be share among employees.
Pension contributions are currently a total contribution of 8% with at least 3% employer contribution.

Information required to process payroll

In order to process payroll for your business we would need the following information;
  • PAYE registration certificate (if already registered)
  • Complete employee information form (click here to download)
  • Provide copy of P45 statement if it is not the first job since last 06 April
  • Provide P11D's for PAYE and National Insurance or Last payslips if moving from another provider
  • For hourly paid staff, provide time sheets before agreed deadline
  • We shall request more information where required.
